Color discrepancies are not printing errors, but often result from no one confirming the target color from the beginning.

Most color issues with standees and backdrops do not originate from the printer. They arise from no one establishing the target color and acceptable error thresholds from the start, so the printing house produces according to the file but still outputs incorrect branding. Understanding this helps you set the right requirements instead of having emotional debates with the printing house after the goods are produced.

Why color is always skewed and how much deviation is acceptable

Screens emit light by mixing three channels: Red, Green, Blue (RGB, which stands for Red, Green, Blue). Printing, on the other hand, is the opposite: applying ink onto a white substrate through four channels: Cyan, Magenta, Yellow, Black (CMYK, which stands for Cyan, Magenta, Yellow, Key/Black). The color range of screens can be wider than that of printed materials. Bright colors and fluorescent hues that appear sharp on screens often fall outside the reproduction capabilities of large format printers on materials like flex banners or decals. The printer will automatically convert them to the nearest color within the printable range, and the result often appears duller or darker.

ISO 12647-7 defines the concept of delta E (measurable color deviation) so both parties have a common number instead of relying on subjective judgment. You do not need to remember the specific technical number, but you should know that the error threshold must be agreed upon before printing, not after the goods are produced.

Four factors determining color accuracy

  • Original brand color code: If the brand color only has RGB or HEX codes (used on the web), the printing workshop must simulate it, each workshop in its own way, each place with a different tone. Having a Pantone mixing code (a standardized color mixing system, each color has its own name and number) and specific CMYK parameters gives the workshop a clear target.
  • Printing materials: The same file printed on hiflex (tarpaulin with an outer coating), decal (adhesive plastic), fabric, or backlit (lightbox tarpaulin) will yield different colors because each material absorbs ink differently. The color adjustment chart needs to be tailored for each material, not using a common set of numbers.
  • Printer and color profile of the workshop: Each workshop sets up its machines and uses different color profiles (ICC profile, a dataset describing how the machine reproduces color). Providing a standardized color profile like Fogra51 serves as a common language to bridge the gap between design files and the final print.
  • Lighting at the installation site: The same printed sheet looks very different under daylight, indoor yellow light, and colored stage lights. If the backdrop will be under colored stage lights, samples should be approved in lighting conditions close to reality, not in the printing workshop under white fluorescent lights.

When to need strict control, when to accept margin of error.

Strict control using Pantone codes and real print samples: When color is a core identity asset, such as a specific red or blue associated with the brand. When printing in large quantities or distributing across many sales points through multiple workshops, standardized color documentation is needed to ensure consistent tones everywhere. When backdrops and standees are next to each other and customers take photos, color discrepancies between the two are easily noticeable.

Accepting CMYK simulations and quick approvals: When the item is small, used once, with very limited budget and time. A real sample approval round is still needed, but it is known in advance that there will be slight deviations and this is accepted proactively rather than being surprised after delivery.

Common errors and how to avoid them

  • Sending an RGB file and then blaming the printing house for errors: the printer cannot reproduce colors outside the printing area, and the fault lies in the file preparation, not the printer.
  • Approving colors on an uncalibrated screen (calibrating adjusts the screen to display accurate colors) and then using that as the standard: an uncalibrated screen may display colors inaccurately, and two different screens rarely show the same color.
  • Not specifying the Pantone codes allows each workshop to simulate CMYK in their own way: the result is different shades everywhere, with no basis for requesting adjustments.
  • Compare the printed color with the screen instead of comparing it to an approved printed sample: two different material bases, such a comparison has no technical value.
  • Forget the lighting conditions at the installation site: colors approved in the workshop under white light may look very different under yellow stage lights or afternoon sunlight.

Correct color is not about printing exactly as seen on screen. Correct color is printing within an agreed margin of error, measured by actual print samples, not by subjective feeling.

If not, this is something that needs to be established before printing any items, as each time this is missing, the brand color will be interpreted differently by each supplier.

Frequently asked questions

My design file has very bright colors; why does the printed version look much duller?

Bright colors on screen often fall within a wider RGB color space than what can be reproduced in CMYK. These colors are referred to as out of gamut. Printers cannot reproduce them, and software will automatically convert them to the closest color within the printable range, which often appears duller or darker. The solution is to simulate the printable range directly in the design software and adjust proactively, rather than letting the software convert automatically.

I print at different workshops, how can I ensure consistent colors?

Each workshop has its own printing machines, ink types, and color profiles, so it is normal for the same file to produce different tones. The way to control this is to provide all workshops with the same set of standard color specifications, including CMYK codes, Pantone mixing codes, and if possible, include a standardized color profile like Fogra51. More importantly, keep an approved printed sample as a reference so each workshop can match colors against the actual sample instead of their screens.
