Knowing the right specifications from the start helps you avoid costly revisions and delays.

Sending files to the printer that need to be redone one or two rounds is very common, but entirely avoidable. The cause is usually not poor design, but incorrect technical specifications: wrong color mode, font changes, pixelated images, or lack of bleed. This page lists each specification you need to check and explains why each one is important.

What is the PDF/X format and why is it mandatory?

PDF/X (read as "PDF for printing") is an ISO standard that narrows down regular PDF to fit the printing process. Unlike PDFs used for screen reading, PDF/X requires the file to: use CMYK or spot colors, embed all fonts, declare bleed and trim boxes, and include an output intent (which is an ICC profile describing the printer and paper type). Printers accept PDF/X files as having all the necessary information for printing, without needing to ask for clarification.

There are two popular versions:

  • PDF/X-1a: the strictest, all colors must be CMYK or spot colors, no unprocessed transparency allowed. Suitable for simple printing processes, with the most stringent color requirements.
  • PDF/X-4: more flexible, allows for transparency and color management through ICC profiles. Suitable for designs with transparent effects or requiring complex color management.

If you’re not sure which standard the printer uses, just ask. Most offset printers will specify one of these two standards.

List of specifications to check before exporting the file.

  • Color system: CMYK or mixed colors (Pantone, spot color). Do not leave RGB colors unconverted. RGB is a light color system used for screens, and printing it will result in color discrepancies compared to the original design.
  • Bleed: The design area extends beyond the trim line so that when trimmed, no white edges are exposed. Typically 3mm on each side, but check with the printer as some may have different requirements.
  • Font: Fully embed or convert to outlines (turn text into vector shapes). If not embedded, the printer opens the file on a machine without that font, and the software automatically replaces it with another font, causing layout issues.
  • Image resolution: Typically 300 dpi at actual print size. Images from the web or small images enlarged will become pixelated when printed in large formats.
  • Output profile (ICC profile): Declare the correct paper type and printer. Ask the printer for the ICC file they use, and include it in the output intent when exporting PDF/X.
  • Trim and bleed settings in the file: Correctly declare in the export settings so the printer knows where to cut.

Specification sheet: accompanying files are just as important as design files.

In addition to the PDF/X file, you should also send a summary specification sheet for the print order. This sheet helps the printer avoid guessing and serves as a reference for both parties in case of any issues.

  • Final product size (dimensions after trimming).
  • Number of pages or printed sides
  • Type of paper and weight (e.g., couche 250gsm, offset 120gsm)
  • Number of colors printed (4 colors CMYK, or additional spot colors)
  • Post-print finishing: lamination (matte or glossy), die-cutting, folding, stapling, gluing
  • The print quantity.

Without this slip, the printer may print the wrong size, choose the wrong paper, or overlook finishing. The result is reprinting, wasting money and time.

Common errors and how to avoid them

Send RGB files: Prints may appear color-shifted compared to the screen, especially with blue and orange. Avoid this by converting everything to CMYK before exporting, or use a mixed color if precise color is needed.

Forget to include bleed: After trimming, the outer edge may be white or cut into the design. Avoid this by allowing bleed from the start, not adding it later.

Do not embed fonts: The printer opens the file and sees unfamiliar fonts, the software replaces them with default fonts, and the layout breaks. Avoid this by selecting "embed all fonts" or "outline text" when exporting.

Low-resolution photos: print out pixelated and blurry. Avoid this by checking the dpi before delivering files, especially with images sourced from the internet or high-compression phone photos.

No specification sheet: The printer guesses incorrectly and prints the wrong specifications. Avoid this by always including a written specification sheet, even if it's brief.

Frequently asked questions

Why not send the Illustrator or Photoshop files directly to the printer?

The source file (AI, PSD, INDD) contains raw design data: fonts not embedded, layers not merged, colors may still be RGB. Opening this file on another machine can easily lead to font issues or color shifts. PDF/X packages everything into a closed file, which the printer can use immediately. This is why the printing industry uses PDF/X as the standard for exchange, rather than source files.

Is 3mm bleed sufficient, or should I check with the printer first?

3mm is a common number but not absolute. Some printers require 5mm, and some larger print sizes or special processing need more. Sinh Vũ advises you to check with the printer specifically before exporting the file, as fixing bleed after the file is completed requires additional work. Providing technical requirements from the start will save a round of revisions.

Does the Pantone color in the file need to be converted to CMYK?

Depending on the printing process. If the printer uses offset printing with Pantone colors (spot colors), keeping the Pantone color in the file is correct. If the printer only prints in four CMYK colors, you must convert Pantone to CMYK before exporting. These two cases yield different actual color results, so it is essential to confirm with the printer right from the design stage.
