This is not due to factory negligence, but because there is no common reference point for both parties to adhere to. This article discusses how to establish that reference point and use it consistently.

Three things that create objective milestones

Stable colors do not come from perception, but from three layers of overlapping control.

  • Pantone code for core color: Pantone (a standardized color mixing system) locks the target color with a unique number, independent of screens or printers. Both coated (C, printed on glossy paper) and uncoated (U, printed on uncoated paper) versions need to be recorded, as the same code may look different on the two types of paper.
  • Signed proof sample (contract proof): This is a test print approved and signed by both the client and the workshop before running the actual batch. It is physical evidence that the workshop has achieved the target color on the correct paper and ink combination to be used. This sample is a binding reference document, used to calibrate the machine before each subsequent batch.
  • ICC color profile for specific combinations: ICC profile (a color profile describing the color characteristics of a device) linked to each combination of ink, paper, and printer. When that combination is fixed and saved, subsequent orders can reproduce the printing conditions exactly like the first batch.

When to need to redo the proof.

Reorder with the same workshop, paper, and ink: Use the signed proof sample from the first batch as a reference. The workshop calibrates the machine according to that sample, measures Delta E (the unit of measurement for color distance between the target color and the actual color) before running. If the threshold is met, proceed with the run. If not, the workshop adjusts and measures again.

Changing the factory, changing the paper, or changing the type of ink: A new proof must be made, approved, and signed again. The proof sample from the old factory is not a valid reference for the new factory due to completely different printing conditions. This is the source of most unexplained color discrepancies.

Common mistakes when managing color in multiple batches

  • Do not save the first batch sample: There will be nothing to compare with in the next batch except memory. Color memory is unreliable.

Pantone is sufficient; why do you need a proof sample?

Pantone locks in the target color, but it does not guarantee that the printing house is achieving that color. If a later batch is off, you will need both the Pantone code and the proof sample to have sufficient grounds to request adjustments from the printing house.

When changing factories, is it necessary to redo the proof?

Yes. Each workshop has its own inks, papers, and machines, along with Pantone codes, but the actual results on the printed sheet can vary. When switching workshops, you need to create a new proof at that workshop, approve and sign it, and only then proceed with the actual batch. What is Delta E and should I care?

Delta E is a unit of measurement for the color distance between the target color and the actual measured color on the print. A smaller number means the color is closer to the target. According to G7 based on ISO 12647-2, spot colors typically aim for a Delta E of around 5 or lower, neutral gray and white paper tighter, below 3. You do not need to measure it yourself, but you should ask the workshop to report this number when color is a sensitive point for the brand.
