The question "what does the standard deliverable file include" may sound technical, but the answer is very practical: a proper set of files is one that the printer can run without needing to ask any questions. Most printing errors do not come from poor graphics but from incomplete files. Sending a beautiful file without a dieline, spec sheet, or color list forces the printer to guess, and that’s where mistakes occur.

The five components of a complete file

The standard deliverable file consists of five parts, which cannot replace each other:

  • Print-ready file in PDF/X format: PDF/X-4 retains transparency, layers, CMYK/RGB/Lab, and spot colors, suitable for most current printing and packaging work. PDF/X-1a is a flat, more rigid version, but some older print shops still require it. Check with the print shop before exporting.
  • Dieline on a separate layer: Cut lines, fold lines, and adhesive areas must be on a separate layer, not mixed with the artwork (graphic part). The dieline must match the actual cutting machine of the workshop, not a sample dieline downloaded from the internet.
  • Specification sheet: Material, paper quantity, printing technique, number of colors, and all post-printing processing steps including lamination, foil stamping, embossing, and local UV coating. If the spec sheet is not documented, the workshop will decide.
  • Color list: CMYK codes for each primary color, Pantone codes if using spot colors, and clearly indicate which colors are knockout (cut out, covering the underlying background) and which are overprint (printing over the background).
  • Approved sample: 3D mockup or sample print that has been signed off by the client, for the workshop to compare with the desired final product and not interpret it themselves.

When you need to add more

Products with complex finishing (hot stamping, embossing, localized UV coating): Each finishing step requires a separate technical layer in the file, accurately drawing the areas that need processing. Combining everything into the main artwork, the workshop won't know the limits of each technique.

Small quantity digital printing, simple products: It can be more compact, but bleed and safe area must still be included. These are two essential factors that cannot be omitted in any type of printing.

Fonts, images, and things often forgotten

Three most common mistakes unrelated to color or dieline:

  • Font not converted to outlines or not embedded: If the workshop lacks the font, the text will jump or display incorrectly. Convert the font to outlines before exporting to PDF, or fully embed the font in the file.
  • Linked photos without packaging: The design file only contains links to photos on the designer's computer. When sent to the printer, those links do not exist. Package the file so that the photos accompany the print file.
  • All files in RGB mode, without Pantone declaration: Colors look good on screen, but offset printing runs on CMYK; RGB will be automatically converted according to the printer's settings, not the colors you want.

Working with the factory for the first time.

Each workshop has its own file delivery checklist, depending on their machinery and processes. Before preparing the file set, ask the workshop three questions: which PDF/X format they accept, what layer name and color they use for the dieline, and if they have a specific template. Align the file set according to each workshop's requirements instead of using a common standard for all.

The order and specification sheet must contain all information about printing, so that no part of the work is hidden.

Frequently asked questions

Can design files from Canva or Photoshop be used for production?

Yes, but you need to export correctly: CMYK, sufficient resolution, proper bleed size, and fonts embedded or converted to outlines. Canva files often export in RGB and lack technical layers, so you need to double-check before delivery. For packaging products with die-cut shapes, Canva is not suitable as it does not support professional dieline layers.

What is a die-cut and do I need to make one myself?

The die cut (dieline) is a technical drawing that shows the cutting lines, folding lines, and adhesive areas of the box or packaging before it becomes a finished product. You do not need to create it yourself but must confirm with the printing house or design unit that the dieline matches the cutting machine of that house. Using the wrong dieline with the machine will result in misaligned folds or gaps.

What should be included in the technical specification table?

Record sufficient details: material and paper quantity, printing technique (offset, digital), number of colors (4-color CMYK or additional Pantone colors), post-printing processes (gloss lamination, matte lamination, foil stamping, embossing, spot UV), and expected print quantity. Missing any item will lead the workshop to fill it in according to their habits, not according to your preferences.
