This question often arises when you feel the need for intervention but are unclear about the level of intervention required. Sinh Vũ encounters two common misunderstandings: one is buying a whole project when only a session to untangle one knot is needed, and the other is purchasing a session and expecting it to replace the work of an entire project. Both waste money in the wrong places.

Four questions to categorize

Before choosing a form, you need to honestly answer the following four questions:

  • Is there data for the decision? If you and your team clearly understand the situation and just need an outsider to finalize, then one session is enough. If data is lacking, customer interviews or team reviews are needed beforehand, so it cannot be finalized in one session.
  • Can the decision be reversed? Easily reversible decisions carry less risk in a single session. Hard-to-reverse decisions (restructuring a brand, renaming, changing segments) require a stronger foundation.
  • How many parties need to agree? If only one person is making the decision, one session may be enough. If the entire founding council or multiple departments are needed, true consensus usually does not form in a single session.
  • Who will monitor the implementation afterwards? This is the most important question that many overlook.

When is a single session sufficient

A standalone session is suitable when you are in one of three situations:

  • Is there a single clear decision that needs to be resolved, for example: the order of priority between two directions, or how to position a new product within the current portfolio?
  • The team has enough data; they just need an outsider to review and help them escape unproductive debates.
  • Do you want to try working with Sinh Vũ before committing to a long-term project?

The key point: an effective single session is when the goal of that session can be succinctly written in one sentence, and its outcome is a clear decision, not a list of additional tasks.

When you need an entire project

The project is suitable when three or more of the following conditions are true for you:

  • The decision needs to be preceded by field research: interviewing customers, reviewing the team, or assessing the current brand assets.
  • Many parties need to reach consensus, and that consensus needs to be documented so that no one can dispute it later.
  • Post-execution needs to be monitored, because without someone to accompany, decisions can easily remain on paper.
  • There are many interrelated decisions that need to be addressed in order.

The energy from an offsite (a focused working session outside the office) dissipates quickly without a system to keep everyone aligned. Many good decisions end up in folders that no one opens.

Common mistakes when choosing the wrong format

  • Expecting too much from a single session: One session cannot simultaneously gather data, make decisions, and ensure execution. Placing all three expectations on one session sets it up for failure.
  • A good decision that no one follows: Sam Kaner, author of Facilitator's Guide to Participatory Decision-Making, points out that true consensus forms when the group navigates through discomfort and arrives at a shared understanding. This often requires more than one session, especially when parties have differing interests.
  • Buy a large project when you only need to untangle one knot: If you know the problem well and just need someone to look back with you, a Starter session is sufficient and more cost-effective for both sides.

The viewpoint of Sinh Vũ

Sinh Vũ does not encourage you to purchase a large package if the issue can be resolved in a single session. Conversely, Sinh Vũ also does not accept single sessions when it is clear that the issue requires foundational research to finalize, as doing so would only create an engaging conversation without actionable results.

The best way to determine is to describe to Sinh Vũ the decision you need to resolve. If it can be summarized in one sentence and the data is available, a brief meeting is the answer. If that description requires a paragraph and there are many unclear points, that is a sign that groundwork needs to be done first.

Sinh Vũ has a policy to deduct the fee for individual sessions from the project package if you sign on afterward. This is a commercial offer from Sinh Vũ, not a common practice in the consulting industry. You should clarify the specific conditions during direct discussions.

How long should a standalone session last, and what should it decide?

A Starter session is often enough to untangle a decision point, such as where brand positioning is overlapping, or which priorities should be addressed first in the upcoming quarter. It is not sufficient to conduct market research, interview the team, and finalize a multi-year strategy all within the same timeframe.

I am not sure what I need, should I start with a single session to explore?

This is a valid reason to start with a single session: test the working method before committing to something larger. What Sinh Vũ recommends is that you should not expect that session to prepare the foundation, finalize decisions, and ensure execution all at once. Set a clear goal for that session, then evaluate the next steps after seeing the results.
